UM-3.5|Data entry: record control area

Description control area

The "Description control area" is the same for archival descriptions, authority records, and archival institutions. The ICA standards each have a control area, but it varies across the standards; ICA-AtoM implements it consistently across each record type.


1. Description identifier: ISIAH 5.6.1

  • Enter the unique identifier of the archival institution record.


2. Institution identifier: ISIAH 5.6.2

  • Enter the name or institution code of the body repsonsible for creating and maintaining the institution record.


3. Rules or conventions: ISIAH 5.6.3

  • Text field.


4. Status and Level of detail: ISIAH 5.6.4 and ISIAH 5.6.5

  • Select status and level of detail of institution record from drop-down lists.
  • ICA-AtoM ships with default lists ("Draft, Final, Revised, Deleted" for status; and "Minimal, Partial, Full" for level of detail); Administrators can customize to institution's own standards.


5. Language and scripts: ISIAH 5.6.7

  • Select language and script of the institution record from the drop-down lists; Administrators can customize lists to institution's own requirements.

  • Text field.


7. Notes: ISIAH 5.6.6 and ISIAH 5.6.9

  • Multi-value field displaying notes.
  • Use this field to register dates of creation, revisions, deletion.
  • Enter the text of the note, select the type of note, click the green AddInfoIcon to register.
  • To delete an existing note, click the red DeleteInfoIcon beside it.


8. Created / Updated:

  • Auto-entered time-stamps (date and time) record was created and last modified.
